Large data requests

Charts, reports and data exports are calculated period by period. Ask for too much at once and Promineo declines the request — here is why, and what to change.

Why a request can be too large

Nothing in Promineo stores a ready-made number for "how much work falls in March". Every chart, report and data export is calculated on demand: each Project Position, each person's Availability and each Time Off entry is spread across the periods you asked for, one period at a time.

Three of your own choices decide how much calculation that is, and they multiply rather than add:

• Date range — how far the window reaches from start to end.
• Granularity — the size of each period in that window. The same three-year window is 36 monthly periods, but roughly 156 weekly ones and over 1,000 daily ones.
• Selection — how many project positions and people fall inside the window, after any filters you have applied.

So a three-year window over the whole organization is not slightly bigger than a three-month window over one project — it can be thousands of times bigger. Past a certain size the calculation stops being something you would wait for, so Promineo declines it up front and tells you, instead of leaving you watching a spinner that will never finish.

Three ways to make a request smaller

Any one of these is usually enough. Change the one that costs you the least for what you are actually trying to see.

1. Shorten the date range. Long-horizon questions rarely need the near term at the same time. Look at the next 12 months now and the years after that separately.
2. Use a coarser granularity. Move from daily to weekly, or weekly to monthly. Multi-year planning questions are almost always monthly or quarterly questions — the extra detail of daily periods is noise at that horizon.
3. Narrow the selection. Filter to one organization unit, one project, or one Project Role. A smaller, more specific answer is usually the more useful one anyway.

Granularity is the strongest lever of the three, because it changes the number of periods across the whole window at once. Try it first.

If it still will not run

Reduce a second choice as well — for example a shorter range and monthly periods. If you need the full detail for a very large organization, export in slices: run the same report for one organization unit at a time, or one year at a time, and combine the results outside Promineo.
